This policy explains what personal information Pampered Pooch Dog Grooming collects about you and your dog, why it is collected, how long it is kept and what rights you have over it.

Who is responsible for your information

Pampered Pooch Dog Grooming is a sole trader based in Lowestoft, Suffolk, operated by Helen Kalkman, who is the data controller for the information described here.

What this website collects

Nothing. This website has no contact form, no analytics, no advertising and no tracking. It sets no cookies. Fonts and images are served from this site rather than from a third party, so no other company is told that you visited. The only information created by your visit is the standard server log kept by the website host, Cloudflare, which records requests in order to serve and protect the site.

What is collected when you get in touch or book

Information is collected when you telephone, email, message on Facebook, or speak to Helen in person. That normally includes:

  • your name, telephone number and email address
  • the address where the grooming appointment will take place
  • your dog’s name, breed, age and sex
  • your dog’s health, temperament, coat condition, allergies and any special requirements
  • notes on previous grooms, products used and the styles you prefer
  • your vet’s details, where you choose to provide them
  • a record of appointments, payments and amounts charged

Why it is collected, and the lawful basis

  • To arrange and carry out grooming appointments — necessary to perform our contract with you, or to take steps at your request before entering into one.
  • To keep individual grooming and health records for each dog, so that coat condition, sensitivities and behaviour are known at the next visit — our legitimate interest in providing a safe, consistent service, and in meeting our animal welfare responsibilities.
  • To contact you about an appointment, including reminders and changes — necessary to perform our contract with you.
  • To keep business and tax records — a legal obligation under UK tax law.
  • To deal with a complaint, insurance claim or dispute — our legitimate interest in defending and resolving claims.

Marketing messages are not sent. If that ever changes you will be asked to opt in first, and you will be able to opt out at any time.

Who your information is shared with

Your information is never sold, rented or traded. It is shared only where necessary:

  • with a vet, if your dog needs urgent attention during an appointment
  • with our accountant and with HMRC, as part of ordinary business and tax records
  • with our insurer and, if needed, our legal advisers, in the event of a claim
  • where the law requires it

Records are kept on paper and on password-protected devices. Email is provided by our email host, and messages sent through Facebook are held by Meta under their own privacy policy, not ours.

Information sent outside the UK

Customer and dog records are kept in the UK. Two of the services used to run the business do store data abroad: this website is hosted by Cloudflare, and any message you send through Facebook is held by Meta. Both operate their own safeguards for transfers out of the UK, and both are covered by their own privacy policies rather than this one. Nothing is deliberately sent overseas beyond that.

How long it is kept

  • Grooming and health records for your dog: for as long as you are a customer, and for 3 years after your last appointment.
  • Financial records, including invoices and payments: six years, as UK tax law requires.
  • Enquiries that do not lead to a booking: up to twelve months.

Information is securely deleted or destroyed once it is no longer needed.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information held about you
  • have inaccurate information corrected
  • ask for your information to be deleted, where there is no legal reason to keep it
  • object to, or ask us to restrict, how your information is used
  • ask for your information in a portable format
  • withdraw consent, where processing is based on consent

To exercise any of these, email [email protected]. There is no charge, and you will get a response within one month.

If you are unhappy with how your information has been handled you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. Raising it with us first is welcome, but it is not required.

Changes to this policy

If this policy changes, the revised version will be published on this page with a new date at the top.
